We have an 8 month contract opportunity for a Project Coordinator in Sacramento, CA.

The Project Coordinator assists the assigned Managing Consultant to manage implementation of various projects/programs across a wide variety of disciplines. The Project Coordinator is responsible for project/program communication and project/program coordination between departments/divisions/affiliates and other stakeholders. The Project Coordinator will assist with the development and maintenance of project/program schedules and will be responsible for tracking progress and anticipating/resolving project delays. The Project Coordinator will have responsibility to oversee the management of the project/program as assigned and will facilitate meetings, stage work and timelines, report on the progress/status of project milestones and will organize the project/program, its participants, stakeholders and deliverables. The individual will have proficiency with project management software. The Project Coordinator will also be expected to be a hands-on contributor for deliverables.

Assists the assigned Managing Consultant to develop and manage key aspects of projects within the department that improve the delivery of services that require implementation/coordination:

  • Responsible for identifying key project/program deliverables and milestones

  • Identifies resources and timelines to meet projected milestones

  • Develops detailed and realistic project plans

  • Coordinates development of key task and dependencies related to the project/program

  • Serves as a project contributor and assists with project tasks

  • Assists in the daily operations of Patrick Hayes Learning Center

Organizes Project Processes

  • Leads the project team and subject matter experts in identifying key tasks and dependencies related to the project

  • Evaluates resources (noting deficiencies) and organizes budgets, and other administrative tasks associated with the project, including scheduling team meetings and preparing agendas.

  • Keeps issues not directly related to the project but which may impact the project organized and visible to the managing consultant and key stakeholders

  • Ensures appropriate project documentation is maintained, including: access to historical data, summary of changes in project plans/timelines, customer requests/feedback, evaluations, curriculum, etc.

  • Identifies ongoing process improvement opportunities arising out of project

  • Recommends to managing consultant next steps and actions relative to the project

Actively manages Project Timelines

  • Coordinates process of engaging project team and tracking follow up for project tasks

  • Problem solves routine project challenges prior to elevating to managing consultant

  • Ensures project components have individual accountability and ensure methods for evaluation

Reports and Presents on Project Outcomes

  • Provides appropriate project metrics to managing consultant and tailors reports for constituent groups

  • Provides verbal and written reports to summarize the status of a project, its effectiveness, or barriers

Communicates and coordinates with various stakeholders

  • Participates in evaluating project goals and obtaining customer feedback prior to project commencement, during project, and following project completion

  • Coordinates with other departments or divisions to ensure the project is adequately coordinated internally and at the affiliates

  • Drafts communications to project participants and stakeholders

  • Identifies the project need for groups or individual participants to collaborate via phone conference, face-to-face, etc. and helps to facilitate the meetings and design agendas and goals

Experience :

Formal education in Project Management or equivalent work experience is required. Aptitude in managing projects, working with groups with divergent views required. B.A. and communications experience strongly desired.

Knowledge: Knowledge of project management methodology required. A solid understanding of current trends and strategies in healthcare and their application to the law is preferred.

Skills: Strong meeting facilitation, presentation and problem solving skills. Superior analytical and critical thinking skills. Superior written and oral communications. A proven ability to meet deadlines. Ability to complete projects in a timely manner with little supervision or direction. Exceptional organization skills with ability to handle multiple priorities in a timely manner with little direct supervision. Collaborative working style and the ability to develop/sustain productive working relations with key stakeholders across all areas and level of the organization, as well as external consultants. Must have the ability to influence without direct control and/or authority.

Requires some travel and the ability to adapt to flexible hours. Must be able to sit for extended periods of time. This position requires manual dexterity, repetitive motion and some bending and lifting. Must be able to lift items up to 25 pounds.
