Robert Half Office Team Medical Secretary in Sacramento, California

Provides complete and professional secretarial, clerical and minor administrative support to the Department and its professional staff and assists with special projects. Ensures a smooth and coordinated flow of information into and out of the department. Proactively produces materials of varied complexity generated by various members of the department (eg agenda packets, board/ educational materials), creates presentations, accurately maintains databases and spreadsheets, conducts basic research, coordinates meeting and event logistics while adapting to rapidly changing priorities and ensuring timely completion. Maintains calendars, schedules meetings, makes travel arrangements, assists in maintaining department filing systems, and completes other office related duties as assigned. Maintains department and facility rosters and mailing lists and answers the department's telephone line. Inventories, orders and receives the department's office supplies. Functions as the department's Central Point of Contact for Information Technology and Telecommunications needs. May participate in SHSS Committees, including the Safety and/ or and Special Events. Exercises extreme confidentiality in performing all assignments. Complete professional clerical, secretarial and minor administrative support

  • Uses a personal computer to produce letters, memos, reports, meeting minutes and forms which may include transcription from dictation equipment or from handwritten draft copy in an accurate and timely manner.

  • Formats and produces large, complicated documents such as Board packets, audit reports, compliance assessment documentation and presentations.

  • Proofreads all finished copy to prevent errors.

  • Completes work on time, meeting identified due dates - including sufficient time for supervisory review and revision.

  • Updates databases and produces graphs from information provided by various members of the department.

  • Composes letters, memos and general business correspondence for signature of various department members.

  • Uses sound professional judgment relative to formatting and creation of documents.

  • Opens, date stamps, reviews and distributes incoming mail and correspondence for the professional staff, responding to certain inquiries directly.

  • Sends and retrieves documents transmitted electronically. Provides a full range of clerical support to the department including, but not limited to, photocopying, collating reports and distributing materials/ information. Calendars, meetings and related department functions

  • Maintains calendars and suspense files for department staff.

  • Schedules meetings with a variety of people internal and external to the organization. Meetings often involve many individuals with already-full schedules and require special arrangements such as audiovisual aids, etc.

  • Demonstrates flexibility when working with busy calendars that make scheduling difficult.

  • Coordinates travel arrangements for various members of the department.

  • Makes catering arrangements for meetings scheduled during meal times.

  • Produces check requests, expense vouchers, mileage reports or other needed documentation for department staff.

  • Receives guests: greeting, screening and referring telephone calls and visitors to the appropriate area. Takes and transcribes minutes at meetings when required, finalizing them for approval prior to distribution. Working relationships and level of independence

  • Makes the day-to-day decisions required to properly prioritize and perform principle
